Shift : Monday to Friday - 0800-1600 (1st Vacancy )
Monday to Friday - 1200-2000 (2nd Vacancy )
Pay Rate: $21 to $23 per hour
Mandatory : Must have 5 years continuous residency in Canada (Site Specific Clearance required)
Allied Universal is hiring a Administrative Professional at a site in Waterloo, ON. The Administrative Assistant supports the daily operations of the Security Director and/or Account Manager by handling a wide range of administrative tasks. This role involves managing communications related to site security protocols, maintaining an organized workspace, and performing general office duties. The ideal candidate is adaptable, open to learning, and willing to take on cross-functional responsibilities as needed. This position reports directly to the office of the Security Director and completes tasks as assigned.
RESPONSIBILITIES:
- Answer phone, schedule appointments, and provide information regarding office of the Security Director (client), which will include ensuring maintainenance of the client’s policies and procedures
- Screen, respond to, and/or distribute mail as appropriate
- Assist with the scheduling of appointments and meetings to maintain the Director’s calendar
- As required, or directed, will attends meetings to provide or obtain information, including maintaining any necessary records or minutes of the meetings
- Obtain, compile, organize, and prepare information and data for various reports, meetings/board agendas, ensuring information packages are complete and meet guidelines for submittal, as directed by the client
- Coordinate special administrative projects as assigned by the client, to include assigning work, providing project information, giving guidance in support of project objectives, and prepares final reports, as required
- Support security team, both internal and external team members, with the interpretation and application of policies, procedures, and processes, for work locations or posts
- Within this position, additional administrative functions or tasks can be assigned, on a temporary or permanent basis
QUALIFICATIONS (MUST HAVE):
- High School Diploma or equivalent required.
- Applicants must be at least 18 years old.
- Proficiency in Microsoft Office Suite is necessary.
- Professional demeanor and appearance are expected.
- Strong written and verbal communication skills.
- Ability to take initiative and resolve issues proactively.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
